Creating a meeting sequence

Schedule a recurring meeting and connect it to the appropriate board and participants.

Okay, creating a meeting sequence. So what you want to do now is tell ClerkDirect about what meetings you're doing. And meetings typically are recurring. And so let's say that we want to set up a city council meeting that is recurring every month.

We're actually in the meeting screen in ClerkDirect right now. This is the screen that you see when you first log in to ClerkDirect, and it is this Meetings button in the top left. So what you want to do to make a new meeting is click New Meeting, and then we can actually fill in details about the meeting. So this is going to be City Council Meeting. You can write a description here if you would like to. And then for date, you could pick the date of the next meeting. So let's say that we do this meeting on the first Tuesday of every month. The first one is September 1, and it's 9:00 a.m. for an hour. You can select your time zone here, and you can select a board, like what we set up in the previous video. So here, I'm actually going to choose our City Council board, and this will automatically invite the members on the board to this meeting.

And then you can write your location and choose a cadence under Repeat. So it defaults to one time, but we said we want this to be monthly on the first Tuesday of every month, so we'll select that option. This should be familiar to anyone who's used Google Calendar or Outlook; there are similar types of meeting controls here.

And then we can also add guests to the meeting, and these would be people who are not necessarily on the board, in this case the City Council, but they are still regular participants in the meeting. So that could be a city manager or a city attorney, city clerk—whoever needs to be there, you can add them as well as a guest.

And when you're done, go down here and click Create Meeting. We can now see this recurring meeting sequence that we just created for city council meetings. So up at the very top, we have September 1, and then this is the first Tuesday of every month. The next one is October 6, November 3. We could load more of these if we wanted to, but these show up here, and you can actually click into these meetings.

I'll go over this a little bit in the next video when we talk about putting together an agenda. But just really quick, you can see an overview of all of the meeting details that we just set up. So we have the attendees, which was the City Council board, and then we also have the date and time of the meeting, the location, the duration—all that good stuff. So this is your meeting. That's how you set up a meeting sequence.
