Generating meeting minutes
Review the transcript, edit the generated minutes, and resolve details that need human input.
Lesson summary
What this lesson covers
After a meeting ends, ClerkDirect processes the recording in the background and opens the Minutes workspace with a timestamped, speaker-separated transcript beside an editable minutes document. You can edit directly, use Ava for broad or targeted revisions, resolve highlighted details that cannot be inferred, and then find the completed minutes in the meeting's Files tab.

Okay. So after you've ended your meeting, you are taken to this screen. It takes a couple of minutes, depending on how long the recording is. If it's a two-hour meeting that you've recorded, that will typically take about five minutes to get here. You don't have to sit and wait for it; it will work in the background.
You'll see that we're still in our meeting screen, and now we're in the Minutes tab at the top right here. Just like we were in the Agenda tab before, now we're in the Minutes tab. I'll break down what we're looking at here.
This is after the meeting. On the left-hand side, we have a little player. This was a three-hour-and-fifteen-minute recording that I had uploaded, and we have a transcript with the speakers separated out. These segments are timestamped as well. This was a very long segment of dialogue from someone who spoke for about 25 minutes. So that is the transcript.
Then, in the main section of the page, this editable document is your actual meeting minutes. We have a pretty standard template that we use. You can also create a template yourself from previous minutes that you've written so it will be in your style. This is an editable document. You can click in here and edit it just like a Google Doc.
One last thing here is going back to Ava, which is our AI assistant that knows everything in ClerkDirect and can help you do things inside ClerkDirect. You can click this Edit with Ava button, and we will pop open the same familiar chat window on the right. You can ask Ava to regenerate parts of the minutes to make large, sweeping changes if you want. For example, if there's a chief administrative officer's report and you want that report to be longer or contain more details, you can ask Ava to do that, and she can edit the document.
You can also highlight a section in the editor itself and write whatever feedback you have about that section. Ava can regenerate a second version of the document that takes your feedback into account. We have some presets here to make the language tighter, make it more formal, or expand a particular section. Those are some of the options that you have for editing as well.
These highlighted yellow sections are placeholders that we were not able to figure out from context. Part of this is an artifact of the example that I'm doing, but if there is something that your minutes template needs that the system cannot figure out, it will insert one of these yellow highlighted sections. If you hover over this, it will say, “This detail cannot be determined from the transcript. Click to fill it in.” If you click this, it will go away, and you can write whatever you want to write in there.
Once that's done, your minutes are done, and you can see them in the Files tab here. If I click over here, this will show you all the files associated with this meeting. In this case, we have the minutes that we were just looking at, which we can now see in this Files tab.
That is your meeting minutes. We're almost done. In the next video, we're going to talk about how to publish documents like these minutes to the public records portal.
